Starbuck Hall Meeting
March 22, 2010

Welcome

Present:
Carol Mosset, Nancy Dyck, Diane Trudeau, Jen Fischer, Ron Schade, Dan Gargan, Janis McMorran

Minutes:
The minutes were read and there were no errors or omissions. Adopted as read by Diane Trudeau / Janis McMorran

Financial Report
None

Old Business
Paint/Touch up
The touch ups and painting were completed by Norm and Nancy Dyck.
Dan has over-seen that all the new lights in the main hall and exits have been installed.

Money from Starbuck School
Janis was told that Starbuck School monies for their use of the Hall at Christmas will be deposited in March. We will ask Jen to make sure it has been deposited.

Storage Units
Ron priced the large container storage units and they cost- $2800 for a 20’ and $2900 for a 40’ unit plus $250 delivery charge. Ron will check with the Municipality to see if we need a permit and if it will affect the insurance. Dan will ask Rick Yankowski where he got his.

Mezzanine
Dan suggested building a mezzanine above the table and chair storage area left of the stage. It would be large enough to store the stage backdrop and the Art Club’s display easels. Nancy would ask Norm to give a price to build it, which he could do next winter.

Advertising
Diane has advertised the Hall Rrental in the Headingley Headliner/Metro, Valley Leader and Coffee Chatter newsletter.

Fred Penner
Fred Penner has been booked for a concert on May 15th at the Hall.
-Nancy has asked Bob Morse if a chemical company would donate money to the show to supply the children with a drink and small popcorn. He will get back to her in week.
-Melissa Preusentanz and a friend would be clowns at the concert and they would supply the balloon – cost $120.
- Face Painting by 4H girls
-Dan or Janis will contact Romeo about working the lights
-Janis will contact Rodney Burns from the Municipality re: a donation from them for the Home Coming
-cost Fred Penner – he suggest a 75% 25% split
-tickets are $10 each we thought and Fred Penner suggested $10 - $15 a ticket
-at this rate if we sold 350 tickets Fred Penner would get $2625 and us $875
-Diane will start an advertising letter for the school families of Oak Bluff, Sanford, Starbuck, St. Eustache, and Headingley, (Phoenix School)
-tickets – Nancy will print them and look after distribution
- should we sell hotdogs? – it depends upon the time the concert starts.
-advertise in the Schools, Scoop and Posters

New Business
We need to advertise the Fred Penner Concert in the Scoop
We received a letter from the Just Community Market Co-op wanting to possibly rent the kitchen on Wednesday evenings for 14 weeks. They need to work in “an approved kitchen” to make their product. They will get back to us if they become more serious about the rental.
Dan will purchase 3-4 refrigerator thermometers.

Hall Rentals
There was quite an extensive discussion about hall rentals to local groups or people. Through a phone call to Jen Fischer she suggested perhaps we need a separate rate for non-profit organizations like the churches. This discussion was started by the St. Paul’s Catholic Ladies saying that they can not make a profit at their Bingo if they have to pay $250 rental fee. Last time they paid $50. The hall needs to make money to pay for the usage of heat, etc., too.

Motion: to rent the hall the St. Paul’s Catholic Ladies for $150. Motion by Dan/Nancy. Carried

Motion: Children’s (under age 12) birthday party rental will be $100. The renter must leave the hall in the condition the renter found it in or a cleaning charge will be charged to the renter. Motion by Dan/Ron Carried.
